A Senior Administrative Assistant position is available with the City of Fort Worth City Manager’s Office – Administration Division. We are seeking a highly skilled Sr. Administrative Assistant to provide high-level administrative support with a focus on calendar management, meeting coordination and project support. This role requires strong organizational skills, attention to detail, and a solid understanding of government purchasing procedures, municipal accounting practices, and applicable federal, state, and local regulations. The ideal candidate is proactive, adaptable, and capable of handling shifting priorities in a fast-paced environment.
Minimum Qualifications:
- Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources, or a related field
- Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division or major service area
- One (1) year in a supervisory or lead capacity
Preferred Qualifications:
- Strong verbal and written communication skills, including research skills
- Accounts payable, purchasing, contract management, and budgeting experience
- Knowledge of governmental purchasing procedures and municipal accounting practices
- Knowledge of various enterprise software packages such as PeopleSoft, Euna, Doc Assembler, or similar HR, budgeting, purchasing, and agenda management software
The Sr. Administrative Assistant job responsibilities include:
- Calendar Management: For at least two executives ensure efficient use of the executives’ time, travel, and desk time; identify the importance of meetings; stay organized; avoid overbooking and ensure only relevant high-priority appointments are scheduled and attended.
- Meeting Coordination: Set up meeting logistics, speaking engagements/talking points, presentations, conference/video conferencing setup; provide necessary information/documentation ahead of meeting to help executive be well-prepared; organize and coordinate meetings, prepare agendas, distribute meeting materials, take meeting notes, track action items, and arrange room and technology requirements.
- Document Preparation/Document Management: Produce/draft and record documents such as letters, reports, memos, proposals, agendas, summaries, charts, and presentation; proofread and correct documents. Notarize documents.
- Project Support: Assist with project management and coordination, including tracking progress, deadlines, and budgets, and provide updates to the executive team.
- Research and Data Analysis: Evaluates and analyzes information from various sources on a variety of specialized topics related to assigned programs; prepares reports and makes presentations, as required; prepares various complex administrative, financial, and statistical reports; for the executive’s decision-making.
- Fiscal Management: Oversees division/department wide purchasing procedures; coordinate various financial and budget activities, including monitoring and requesting requisitions, establishing purchase orders and monitoring travel and training requests; processes travel advances and reimbursements; and monitors expense reports.
- CMO Liaison: Screen and manage emails, responds to and resolves inquiries from internal and external customers, complaints and service requests; interprets policies and procedures; and monitors status of requests.
- HRC/MRC: Point of contact for personnel-related activities, including payroll, position and people management, and absence management.
- Confidentiality: Maintain strict confidentiality and discretion regarding sensitive information.
